We explain in section 8 how we handle this and what we expect from our clients.

  • Publicly available sources: business contact information from company websites, property portals, LinkedIn and industry directories, used for business to business outreach.

  • Referrals: your details where an existing client or contact refers you to us.

3. Why we use your data and our lawful basis

Under UK GDPR we must have a lawful basis for each use of your personal data. Ours are set out below.

To respond to enquiries and prepare quotes and proposals. We use your contact and enquiry details. Our lawful basis is our legitimate interest in responding to people who approach us, and taking steps at your request before entering into a contract.

To book and run calls, shoots and shoot logistics. We use your contact and booking details and the addresses of the properties involved. Our lawful basis is performance of a contract, or our legitimate interest in managing the engagement where you are a contact at a client company rather than a party to the contract yourself.

To deliver our services, including editing, publishing and campaign management. We use client and project information, the access you give us to your platforms, and the content we produce. Our lawful basis is performance of a contract.

To invoice, take payment and chase unpaid invoices. We use billing and payment details. Our lawful basis is performance of a contract, and our legitimate interest in recovering sums owed to us.

To send our newsletter and marketing emails. We use your email address and your marketing preferences. Our lawful basis is your consent, or the soft opt in under PECR where you are an existing client or have enquired about similar services.

To carry out business to business outreach to estate agents and property businesses. We use business contact details. Our lawful basis is our legitimate interest in promoting our services to relevant businesses.

To improve the website, measure traffic and understand what content works. We use analytics and cookie data. Our lawful basis is your consent, given through our cookie banner.

To run and measure advertising campaigns for ourselves and our clients. We use cookie and platform data and audience data. Our lawful basis is your consent for advertising cookies, and our legitimate interest in managing campaigns on behalf of clients.

To use finished work in our portfolio, case studies, social media and pitches. We use the content we have produced, including images of people who agreed to appear. Our lawful basis is our legitimate interest in demonstrating our work, and consent where required for images of identifiable individuals.

To keep accounting records and meet our legal obligations. We use transaction and contract records. Our lawful basis is compliance with a legal obligation.

To protect the website, prevent fraud and handle disputes or claims. We use technical data, correspondence and contract records. Our lawful basis is our legitimate interest in protecting our business and in establishing or defending legal claims.

To recruit and to manage our suppliers. We use the application and supplier details you send us. Our lawful basis is our legitimate interest in running our business, and taking steps prior to entering into a contract.

Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights. You can object at any time. See section 9.

Where we rely on consent, you can withdraw it at any time. Withdrawal does not affect anything we did before you withdrew.

4. Marketing

If you subscribe to our newsletter, enquire about our services or become a client, we may send you emails about our services, case studies and offers.

Every marketing email includes an unsubscribe link. You can also email info@launchltd.co.uk asking to be removed and we will action it promptly. Unsubscribing from marketing does not stop service emails about work we are doing for you, invoices or scheduling.

We do not sell your personal data, and we do not share it with third parties for their own marketing.

5. Who we share your data with

We share personal data only where we need to. The categories of recipient are:

  • Website and hosting: Wix.com, which hosts our website, forms, bookings and site analytics.

  • Email, files and collaboration: our email, cloud storage and project management providers, used for correspondence, file delivery and scheduling.

  • Advertising and analytics platforms: Meta Platforms, Google, TikTok, LinkedIn and Instagram, in connection with campaigns, pixels and audience measurement.

  • Payment and accounting: our payment provider, accountants and bookkeeping software.

  • Subcontractors: videographers, photographers, editors, drone operators and copywriters engaged to deliver client work. They are bound by confidentiality and data protection obligations.

  • Professional advisers: lawyers, insurers and auditors where needed.

  • Authorities: where we are required to disclose by law, regulation or court order.

  • Business transfers: a buyer or successor if we sell or reorganise the business.

Our processors act on our instructions and are bound by written terms requiring them to keep your data secure and to use it only for the purposes we set.

Where we access a client's own advertising or social media accounts, the client remains the controller of the data in those accounts and their own privacy policy applies to it.

6. International transfers

Some of our providers, including Wix, Google and Meta, process data outside the United Kingdom. Where personal data leaves the UK we rely on one of the following safeguards:

  • UK adequacy regulations for the destination country

  • the International Data Transfer Agreement, or the EU Standard Contractual Clauses together with the UK International Data Transfer Addendum

  • another safeguard permitted under UK data protection law

You can ask us for details of the safeguard applied to a particular transfer by emailing info@launchltd.co.uk.

7. How long we keep your data

We keep personal data only for as long as we need it. Our standard periods are as follows.

  • Enquiries that do not become clients. 24 months from our last contact with you.

  • Client contract, project and correspondence records. 6 years from the end of the engagement.

  • Invoices, payments and accounting records. 6 years from the end of the relevant financial year, as required by UK tax law.

  • Newsletter subscriber data. Until you unsubscribe. We then keep a minimal suppression record so that we do not email you again.

  • Final delivered photo and video content. Retained for our portfolio and archive, unless you ask us to remove it and we agree to do so.

  • Raw and unedited footage and image files. 90 days from delivery, unless the client has agreed a longer archive period with us in writing.

  • Website analytics and cookie data. For the periods set out in section 10.

  • Recruitment applications. 12 months, unless you ask us to delete them sooner.

  • When a retention period ends we delete the data or anonymise it so it can no longer identify anyone.

8. Filming, photography and the people in our content

Our work involves recording properties and people. This creates specific responsibilities.

What we do

  • We film and photograph only what is needed for the agreed brief.

  • We take reasonable steps to avoid capturing identifiable members of the public who are not part of the shoot, and to avoid capturing personal possessions, documents, photographs and valuables inside occupied properties.

  • We hold raw files securely and share final content only with the client and the platforms agreed with the client.

  • Where we use a drone, we operate in line with Civil Aviation Authority rules, including operator and flyer registration and the applicable operational limits.

What we ask of clients

Our clients instruct us to attend properties. Before a shoot the client must obtain the necessary permissions from the property owner, vendor, landlord, tenant or occupier, including permission for us to attend, to record, and for the resulting content to be published. The client must also make sure anyone who will appear on camera knows the content will be published on social media and other channels.

If you appear in our content

If you appear in content we have produced and you want it removed or want to know how it is being used, email info@launchltd.co.uk with enough detail to identify the content. We will deal with the request and, where the content sits on a client's own channels, we will pass your request to the client and tell you who they are.

9. Your rights

Under UK data protection law you have the right to:

  • be informed about how we use your data, which this policy is intended to do

  • access a copy of the personal data we hold about you

  • rectification of inaccurate or incomplete data

  • erasure of your data in certain circumstances

  • restrict processing in certain circumstances

  • data portability, to receive data you gave us in a machine readable format

  • object to processing based on legitimate interests, and to object at any time to direct marketing

  • withdraw consent at any time where we rely on consent

  • not be subject to solely automated decisions with legal or similarly significant effects. We do not make such decisions.

To exercise any of these rights, email info@launchltd.co.uk. We will respond within one month. We may ask you to verify your identity first. Exercising your rights is free, although we may charge a reasonable fee or refuse a request that is manifestly unfounded or excessive.

If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office:

10. Cookie Policy

10.1 What cookies are

Cookies are small text files placed on your device when you visit a website. Similar technologies include pixels, tags, local storage and software development kits. We refer to all of them as cookies in this section.

We use cookies to make the website work, to understand how it is used and to measure and target advertising.

10.2 Your choices

When you first visit launchyourproperty.co.uk you are shown a cookie banner. Only strictly necessary cookies are set before you make a choice. Analytics, functional and advertising cookies are set only if you accept them.

You can change your choice at any time through the cookie settings link on the site. You can also block or delete cookies through your browser settings, though blocking strictly necessary cookies will stop parts of the site from working.

Browser guidance: Chrome, Safari, Firefox, Edge and other browsers all publish instructions in their help centres for viewing, blocking and deleting cookies.

10.3 Categories of cookies we use

Strictly necessary

Required for the site to function and for security. These do not need your consent. They are set by Wix, our website platform, and cover session management, load balancing, security tokens and remembering that you have responded to the cookie banner. Typical examples include XSRF-TOKEN, hs, svSession, smSession, SSR-caching and TS cookies. Lifetimes range from the length of your browsing session to up to two years.

Functional

Remember your preferences and support embedded features such as our Instagram feed, video players and booking forms. Without them some features may not display correctly.

Analytics and performance

Help us understand how visitors find and use the site so we can improve it. This includes Wix site analytics and Google Analytics, which uses cookies such as _ga and _gid with lifetimes of up to two years.

Advertising and targeting

Set by us or by advertising partners to measure campaign performance and to show relevant ads on other platforms. These include the Meta pixel, which uses cookies such as _fbp and fr, Google Ads conversion and remarketing tags such as _gcl_au, and equivalent tags from TikTok and LinkedIn where those channels are active. Lifetimes are typically up to 13 months. These cookies may be used to build a profile of your interests and to show you our advertising across other sites and apps.

Third party cookies are controlled by the third party that sets them. We recommend reviewing the privacy policies of Wix, Google, Meta, TikTok and LinkedIn for details of their own processing.

10.4 Do Not Track

Browsers may offer a Do Not Track setting. There is no agreed industry standard for responding to it, so our site does not currently respond to Do Not Track signals. Use the cookie banner and your browser controls instead.

11. Security

We use appropriate technical and organisational measures to protect personal data, including access controls, multi factor authentication on business accounts, encrypted storage and transfer for client files, restricted access to raw media and confidentiality obligations on our team and subcontractors.

No transmission over the internet is completely secure. If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the Information Commissioner's Office within 72 hours where required, and will tell you directly where the law requires it.

12. Children

Our services are aimed at businesses and our website is not directed at children. We do not knowingly collect personal data from anyone under 18 through the website. Children may occasionally appear in property content, and in those cases we rely on the consent of a parent or guardian obtained through our client before publication.

13. Changes to this policy

We may update this policy to reflect changes in our services, technology or the law. The date at the top shows when it was last updated. Significant changes will be flagged on the website, and where the change materially affects how we use your data we will contact you directly if we hold your contact details.
